The International Livestock Research Institute
(ILRI) works at the crossroads of livestock and poverty, bringing high-quality
livestock science, communications and capacity building to bear on poverty reduction
and sustainable development ILRI is one of 15 centres supported by the
Consultative Group on International Agricultural Research (CGIAR). ILRI has
campuses in Kenya (headquarters) and Ethiopia, with other offices located in
other regions of Africa (Mali, Mozambique, and Nigeria) as well as in South
Asia (India, Sri Lanka), Southeast Asia (Laos, Thailand, and Vietnam) and East

The position: ILRI seeks to recruit a HR Helpdesk Assistant
based in Addis Ababa, who will be a member of the Human Resources team.
MAIN DUTIES (Terms of Reference)
• Providing Administrative support to the HR office
• Provides administrative support to the HR team
• Receives, check for accuracy and dispatch all internal/external mails
• Receives with discretion and confidentiality incoming and outgoing telephone communication requests & routine enquiries
• Prepares letters and correspondence, payments for invoices/requisitions in liaison with relevant Senior HR Assistants for payment processing
• Manages stationery stock levels, raise purchase requisition for office supplies
• Report and follow up on office furniture and other fittings/repairs
• Maintains files including archiving of old files both hard and soft copy in a database for references
• Coordinating official travel, logistics & itineraries
• Facilitates pre-travel arrangements, request for flight bookings, preparing and getting approval of travel authorizations (TA)s for staff and interviews
• Organize internal and external trainings, workshops, meetings and seminars
• Organize local transport for external meetings or other HR errands
• Booking of venue, arranging for accommodation for interviews/meetings
• Works with relevant staff to execute all logistics of meetings and seminars

Minimum Requirement:
Education: Diploma in Secretarial Science & Office
Management or related fields from recognized college/university.
Experience: 2 years, experience in HR is a plus.
Skills:
• Ability to communicate in English language
• Conversant with Microsoft office applications i.e. excel, word, power point and access
• Good organizing and prioritization skills
• Ability to work under minimal supervision and stressful environments

Terms of appointment: This is Nationally Recruited Staff
(NRS) position based at ILRI’s Addis Ababa campus. Initial appointment is fixed
term for two years with the possibility of renewal, contingent upon individual
performance and the availability of funding. The ILRI remuneration package for
nationally recruited staff in Ethiopia includes very competitive salary and
benefits such as life and medical insurance, offshore pension plan, etc..
The ILRI campus is set in a secure, attractive campus on the
outskirts of Addis Ababa. Dining and sports facilities are located on site.
