The Alliance for a
Green revolution in Africa (AGRA) is a partnership of The Rockefeller
Foundation and The Bill and Melinda Gates Foundation and the UK Department for
International Development (DFID) working with African farmers to significantly
and sustainably improve the productivity and incomes of resource poor farmers
in Africa. AGRA is registered as a charitable organization in the US to provide
policy advocacy, resource mobilization functions and programmatic operations
will be implemented. AGRA is headquarted in Nairobi, Kenya. AGRA has an office
in Accra, Ghana and Tanzania.

International Institute of Tropical Agriculture (IITA) East Africa Hub
The Position: Executive Assistant (Country Office)
Responsibilities:
·
Manage
the day-to-day operational and administrative activities of the Country Office
by organizing the flow of work, prioritising incoming requests, maintaining the
country office’s agenda, paper work and a control system, and following-up to
ensure timely responses;
·
Maintain
an in-depth knowledge of the country office operations, responding and/or
re-routing general requests for information, electronic communication and
facilitation, liaison with other offices of AGRA, and representatives from
other institutions.

Assist
the Country Head in his/her liaison with the President’s office and other AGRA
offices
·
Take
follow-up actions required by the country office, filing documents and
maintaining the relevant files;
·
On
behalf of the country office, maintains up to date files of activity reports
and travel plans for respective staff;
·
Manage
the process of project completion reporting for which the Country Head is
responsible;
·
Screen
correspondence, drafts and replies to requests for non-technical information, prepares
acknowledgements and initial responses; composes correspondence for signature
by the Country Head, assembles and summarizes information necessary for
preparing a reply;
·
Answer
and screen telephone calls, provides routine/general information on AGRA to
external enquirers, and redirects calls as required;
·
Obtain,
compile and extract information from files, publications, library, databases,
and other sources, on own initiative or as directed by the Country Head for use
as necessary;
·
Coordinate
administrative and logistical arrangements for visitors, including arranging
appointments for the Country Head, compiling and providing information or
relevant materials required, updates information regarding the country
officer’s planned travel and meetings;
·
Work
closely with the travel unit in organizing the Country Heads’ local and
international travel by providing timely information; contacts hosts and
arranges hotel accommodation, appointments, and processes travel expenses;
·
Assist
in providing administrative and logistical support to other visitors to
locations where travel is initiated by the country office;
·
Make
necessary arrangements for country office’s meetings, workshops and
conferences, books rooms, drafts agenda, compiles and distributes background
documentation;
·
Perform
other duties in accordance with instructions from the Country Head as well as
sometimes attending and participating in meetings.
·
Demonstrate
flexibility in undertaking special assignments for the Country Office such as
the coordination of events, receptions, special meetings and other activities
as assigned.

Any
other duties as may be assigned
Requirements:
- First degree in Business administration or Advance diploma with at least a
minimum of 5 years working
experience in a similar position
- Strong background in international/NGO
environment
- Strong knowledge of computers in a windows environment with
excellent typing skills
- Excellent oral and written communication skills
- Ability to handle the demands of various personality types
- Maintain strong professional and positive demeanour
- Excellent typing and record keeping skills
- Understanding of the CGIAR systems is an added
advantage

for the position is two years: Renewable subject to performance and availability of funds
